Let’s be honest for a second…
Saving receipts is one of those things everyone knows they should be doing…
…but almost nobody has a real system for.
Until:
Tax season hits
Your bookkeeper asks for something
Or you need to prove a purchase and suddenly you’re digging through emails, screenshots, and crumpled paper receipts in your car
Yeah. That part.
So let’s fix it — without making this more complicated than it needs to be.
Receipts aren’t just a “nice to have.”
They’re your proof.
If you’re running a business (even part-time), receipts back up:
• Your expenses
• Your tax deductions
• Your financial records
And without them?
You’re relying on memory…
…and that doesn’t really hold up if the IRS ever asks questions.
Not all receipts are created equal.
For it to be useful (for bookkeeping and taxes), it should show:
• Date of purchase
• Business or store name
• What you actually bought (itemized details)
• Total amount paid
• Payment method (not always required, but helpful)
If it’s missing details — especially what you bought — that’s where things can get a little messy later.
Here’s the truth:
Paper receipts fade.
They get lost.
They end up in random places.
Digital is just easier.
That doesn’t mean you need some super complex system…
But you do need something.
You don’t need fancy.
You need consistent.
Right after you make a purchase:
Take a quick photo
Make sure it’s clear
Make sure all the details are visible
Don’t wait.
Because the second you say “I’ll do it later”…
…it’s probably not happening and before you know it the
receipt has disappeared.
This is where most people go wrong.
Pick one system and stick with it:
• A folder in your phone
• Google Drive
• Dropbox
• Or a bookkeeping app
That’s it.
Create something simple like:
→ 2026 Receipts
→ January
→ February
→ March
Keep it boring. Keep it easy.
This one gets overlooked all the time.
For anything online:
Screenshot the confirmation page
Or download the invoice
And save it in the SAME place as everything else.
Don’t rely on your inbox.
Things get buried way too fast.
Future you will be very grateful for this.
Instead of:

Do something like:
2026-04-17_Amazon_OfficeSupplies
You can also include the amount at the end (if you have multiple receipts for the same place).
Now everything is searchable.
And you don’t have to guess later!
If you want this to actually stay manageable…
Do this once a week:
Spend 10–15 minutes:
Uploading anything you missed
Renaming files
Making sure everything is where it should be
That’s it.
No overwhelm. No needing to catch up months later.

Stay consistent.
That’s really the whole game.
